Email providers like Gmail and Outlook check that emails actually come from the domain they claim to be from. Without a verified domain, your review request emails will likely land in spam. Setting up your domain takes about 5 minutes and ensures your emails reach your customers' inboxes.

Everything you need to know about setting up and running your review funnel
Follow these steps to get your review funnel fully operational. Takes about 10 minutes.
Go to Settings → General. Enter your business name exactly as you want it to appear to customers. Add the email address where you want to receive review alerts (e.g., negative reviews, daily digests). Click "Save General Settings."
Go to Settings → Branding. Upload your company logo (PNG, JPG, or SVG). Choose a color palette preset or set custom primary and accent colors using the pickers. These colors and logo will appear on all customer-facing funnel pages, emails, and QR cards. Click "Save Branding."
Go to Settings → Platforms. Select "Google" from the dropdown and click "Add." Paste your Google Business Profile review link into the URL field. Repeat for Facebook, HomeStars, or any other platform where you want customers to leave reviews. Toggle each platform on/off as needed.
Go to Settings → Funnel. Set your positive threshold (we recommend "4 Stars and above"). This controls which ratings send customers to public review sites vs. your private feedback form. Enable "Show private feedback form," "Email manager instantly," and "Require contact info" for the best negative review handling. Click "Save Funnel Settings."
Go to the Technicians page. Type each team member's name and click "Add Technician." Each person automatically gets a unique QR code and personalized funnel link. Reviews are attributed to the technician whose link or QR code the customer used. You can download all QR cards as a printable PDF.
Go to Settings → Email Domain. Add the domain you want emails to come from (e.g., yourbusiness.com). The system will show you DNS records (SPF, DKIM, and DMARC) to add at your domain registrar. Once DNS propagates, your domain status will show "Verified" and campaign emails will send from your brand instead of a generic address.
Once your email domain is verified, a "Send Test Email" section appears in Settings → Email Domain. Enter your own email address and click "Send Test." Confirm you receive it and that the branding looks correct. This verifies your email delivery is working before you send to real customers.
Go to the Alerts page. Toggle on "Negative Review Alert" (notifies you instantly when a low rating comes in) and "Daily Digest" (morning summary email). Enter the email address where alerts should be sent and click "Save."
Go to the Campaigns page. Select the "Post-Service" template, choose Email as the channel, enter a customer's name and email address, and optionally assign a technician. Preview the message, then click "Send Review Request." You'll see it appear in your Campaign History with delivery tracking.
Your review funnel is now live and fully operational. Share technician QR cards with your team, start sending campaigns after every service call, and monitor everything from your Dashboard. Check back here anytime for detailed guides on each feature below.
Understanding the customer experience from start to finish
A customer receives a review request via email, SMS, or by scanning a QR code. They see your branded rating screen and tap a star rating. If they rate at or above your positive threshold (default: 4 stars), they're shown your review platforms (Google, Facebook, etc.) and encouraged to leave a public review. If they rate below the threshold, they're shown a private feedback form instead — keeping negative feedback off public sites while still capturing it for your team to act on.
Every email campaign includes built-in tracking. You'll see when a customer opens the email, clicks the review link, and whether they complete a review. This data feeds into your Dashboard so you can measure the effectiveness of your outreach and optimize your timing.
Each technician has a unique funnel link and QR code. When a customer uses it, the resulting review is automatically attributed to that person. Points are awarded based on the star rating (higher ratings earn more), and points accumulate toward tier milestones — Bronze, Silver, and Gold — creating healthy competition within your team.
The Dashboard aggregates your reviews from Google, Facebook, and other platforms in one place. This gives you a unified view of your online reputation without logging into multiple sites. API-based auto-import is coming soon — for now, reviews are synced by your Cyclone Solutions team.
